QuickBooks services: what you're actually paying for
Half the people who search "QuickBooks services" don't fully know what they're looking for yet. They just know something's off with their books and they need a person, not another how to article. Fair enough. I get these calls a lot, so let me lay out what actually falls under this term.
What the term usually covers
It's not one thing. Depending on who you ask, QuickBooks services could mean any of the following, and most bookkeepers only do some of it well.
-
Initial setup: chart of accounts, bank connections, opening balances, getting the file structured before you touch it daily
-
Migration, moving your data from spreadsheets, another software, or QuickBooks Desktop over to QuickBooks Online
-
Cleanup, fixing months or years of miscategorized transactions, duplicate entries, unreconciled accounts
-
Ongoing bookkeeping, someone actually doing the monthly work so it doesn't pile up again
-
Payroll setup and processing inside QuickBooks
-
Reporting, pulling profit and loss, cash flow, and balance sheet reports that actually mean something to you
-
Training, teaching your team how to use QuickBooks without breaking it
Most people searching this term need two or three of these, not all seven.
What actually matters before you hire someone
A few things I wish more people asked before signing on with a bookkeeper or a QuickBooks consultant.
Ask whether they're a QuickBooks ProAdvisor. It's not a magic credential, but it means Intuit has certified them and they get early access to updates and support channels regular users don't.
Ask if cleanup is a flat fee or hourly. Cleanup work is unpredictable. Anyone quoting you a flat number before opening your file is guessing, and guesses tend to be wrong in their favor.
Ask what happens after the cleanup. A lot of firms will fix your books once and hand you back a file that's clean for exactly one month before it drifts again, because nobody's watching it.
The part people skip
Cleanup work gets sold like a one time fix, and sometimes it genuinely is. But if your books were a mess for a year, the reason usually isn't that nobody knew how to use QuickBooks. Nobody had time to sit down and do it consistently. Fix the file without fixing that, and you're paying for the same cleanup again in twelve months.
I'd rather tell a client upfront they need ongoing help than sell a one time cleanup I know won't stick. Not every bookkeeper says that part out loud.
On the Online versus Desktop question, most new engagements land on QuickBooks Online now. Intuit has been steering new customers that direction for a while, and it's genuinely easier for a bookkeeper to collaborate on remotely. If you're already deep in Desktop and it works for you, that's not automatically a problem, but ask anyone quoting you Desktop work why they're recommending it over Online.
TL;DR
QuickBooks services can mean setup, migration, cleanup, ongoing bookkeeping, payroll, reporting, or training, and most people only need a couple of these, not the whole list. Ask whether cleanup is flat fee or hourly, whether the person is a certified ProAdvisor, and what happens after the initial fix so your books don't drift right back to where they started.
Questions I get about this
How much does QuickBooks cleanup usually cost? It depends entirely on how messy the file is and how far back it goes. Anyone giving you a number before looking at your file is estimating blind.
Do I need ongoing bookkeeping or just a one time fix? If the mess built up because nobody had time to keep it current, a one time fix buys you a few clean months, not a permanent solution.
Is QuickBooks Online better than Desktop for a small business? For most small businesses starting fresh today, yes, mainly for the remote access and easier collaboration with whoever handles your books.
Can I just do this myself instead of hiring someone? Plenty of people do, and it's fine if you have the time and patience for reconciliation every month. Most people who search for QuickBooks services have already found out they don't.
If you're trying to figure out which of these you actually need, that's exactly the conversation we have with new clients at Accounting Assist Pro bookkeeping services before quoting anything. Reach out and we'll tell you straight what your file needs, not just what's easiest to sell.
